TERMS & CONDITIONS

These Terms & Conditions form a binding agreement between Awakened Roots Retreats and the Client. By booking a retreat, you agree to abide by these Terms, which outline our policies, cancellation terms, and limitations of liability. Please read them carefully before making a booking.

BOOKING & CONFIRMATION

By making a booking, you confirm that you have read and accepted these Terms & Conditions on behalf of yourself and any others included in the booking. Your place is secured only when full payment has been received, and a confirmation email has been sent.

A minimum of 8 participants is required for a retreat to proceed. If this threshold is not met, we will notify you in advance.

Please note: Awakened Roots Retreats are exclusively for individuals 21 years and older.

CANCELLATION & REFUND POLICY

We understand that life happens, and plans may change. Our cancellation policy is as follows:

  • 60+ days before the retreat: You may request a 50% refund of your payment.

  • Less than 60 days before the retreat: Payments are non-refundable.

If you need to cancel, you may roll over your booking to a similar retreat within one calendar year, provided we receive written notice at least 60 days before the original retreat start date.

In the case of unforeseen circumstances or natural disasters (force majeure), no refunds will be issued.

PRICING & PAYMENT

All retreat prices are listed per person and are payable in full at the time of booking. We do offer deposits or installment plans.

Awakened Roots Retreats is not responsible for any transaction fees related to currency exchange or bank charges.

HEALTH & MEDICAL DISCLOSURE

Clients must disclose any medical conditions, disabilities, pregnancies, or medications on the registration form. Failure to disclose relevant health information may result in being excluded from certain activities without a refund.

If your health status changes before the retreat, you must inform us immediately.

RETREAT CANCELLATION BY AWAKENED ROOTS

If we must cancel a retreat due to unforeseen circumstances, we will provide:

  1. A full refund of all payments made, or

  2. A credit toward a future retreat within one calendar year.

We are not responsible for incidental expenses such as flights, visas, vaccinations, accommodations, or other non-refundable costs incurred by the Client.

TRAVEL & INSURANCE

International and domestic airfare is not included in the retreat price.

We highly recommend obtaining comprehensive travel insurance that covers personal injury, medical expenses (including emergency evacuation), trip cancellation, and loss of valuables. Awakened Roots Retreats is not responsible for any loss, injury, or medical expenses incurred during your stay.

SAFETY, BEHAVIOR & LIABILITY

We are committed to creating a safe, respectful, and enjoyable space for all participants. If a participant’s actions jeopardize their own safety, the safety of others, the environment, or the experience of fellow guests, Awakened Roots Retreats reserves the right to remove them from the retreat without a refund.

All decisions made by retreat leaders or guides are final regarding safety and well-being.

PHOTO & VIDEO CONSENT

During our retreats, we may capture photos or videos for promotional use on our website and social media. If you do not wish to be included in any media, please notify us in writing before the retreat begins. Otherwise, by attending, you grant Awakened Roots Retreats a perpetual, royalty-free license to use images and videos featuring you.

ITINERARY CHANGES

We reserve the right to adjust retreat itineraries due to weather, logistics, or unforeseen circumstances. While we strive to maintain the planned schedule, modifications may occur to ensure the best experience for our guests. Awakened Roots Retreats is not responsible for delays or costs arising from third-party service disruptions.

ASSUMPTION OF RISK

By booking a retreat, you acknowledge that participation involves inherent risks and agree to release Awakened Roots Retreats from liability for injuries, damages, or losses. You will be required to sign a Release of Liability & Indemnity Agreement before the retreat begins.
